To keep track of what has been discussed in your meeting, appoint in advance someone who will be responsible for drafting the report, summarizing the content of the discussions, and setting in stone the next steps and responsibilities / deadlines that have been formalized at the end of the meeting. And for your next event, why not securing the services of a graphic facilitator (a scribe) who will visually synthesize the session.
